Experience with EHR systems and medical administrative workflows is strongly preferred. ROLE OVERVIEW About the Client Our client is a high-volume, specialized cardiology practice dedicated to providing exceptional cardiovascular care. Led by a seasoned healthcare professional with more than 30 years of experience in medical office leadership, the clinic is recognized for its clinical precision, operational efficiency, and commitment to patient-centered service. About the Role We are seeking a highly organized and proactive Virtual Medical Assistant to provide critical administrative and clinical support to a fast-paced cardiology clinic. In this role, you will work remotely while interacting directly with patients, healthcare providers, pharmacies, and the physician. You will be responsible for preparing patient charts, managing medical records, supporting prescription refill requests, coordinating prior authorizations, monitoring communications, and ensuring patients receive timely follow-up care. Because the clinic serves many Spanish-speaking patients, fluent bilingual proficiency in English and Spanish is highly preferred. The ideal candidate is sharp, proactive, compassionate, and capable of managing multiple priorities while maintaining accuracy and professionalism. KEY RESPONSIBILITIES 1. Pre-Visit Chart Preparation & Administration Open and thoroughly review patient charts in the EHR before physician consultations Retrieve and upload external diagnostic records, including:        CT scans        Lab results        Diagnostic files        Reports from outside providers Review previous physician plans and anticipate upcoming needs Ensure recommended test results and necessary records are available before follow-up appointments Review and manage incoming faxes Verify that all required pre-operative documentation is complete before patient scheduling Maintain accurate and organized patient records 2. Communication & Inbox Management Monitor incoming: Virtual faxes; Medical messages; Patient communications; and Medical assistant phone extension Identify and immediately escalate abnormal or urgent test results to the appropriate medical team Answer patient phone calls professionally and compassionately Respond to patient inquiries in both English and Spanish when needed Communicate effectively with patients, pharmacies, and healthcare providers 3. Prescriptions & Insurance Authorizations Process prescription refill requests by phone or through the EHR according to established clinic protocols Communicate with pharmacies regarding prescription-related matters Manage medication prior authorizations with insurance providers Track authorization requests and follow up as needed Maintain accurate documentation of prescription and authorization activity 4. Care Coordination & Patient Follow-Up Monitor hospital discharge lists Identify patients requiring follow-up within 7 days Proactively schedule transition-of-care appointments Track patient follow-up requirements Support general administrative workflows to improve cardiology clinic operations Ensure important follow-up tasks are completed accurately and on time QUALIFICATIONS & SKILLS Language Native or near-native bilingual fluency in Spanish and English Excellent written and spoken English communication skills Comfort and confidence communicating directly with patients in Spanish Professional and compassionate phone presence Experience Previous experience as a:  Medical Assistant  Virtual Medical Assistant  Healthcare Administrative Assistant  Medical Office Coordinator  Similar healthcare administrative professional Experience working in a high-volume medical practice is highly preferred Medical Knowledge Familiarity with cardiology terminology Understanding of prescription refill processes Knowledge of medical office protocols and administrative workflows Experience handling patient records and healthcare documentation Understanding of the importance of patient confidentiality and data security Technical Skills Experience with Electronic Health Record (EHR) systems Strong computer literacy Experience managing digital faxes Comfortable using medical phone systems Experience with Weave or similar healthcare communication platforms Ability to quickly learn new medical software and systems CORE COMPETENCIES Highly Proactive: Anticipates needs, takes initiative, and follows through without constant supervision. Sharp & Quick-Thinking: Able to assess situations quickly and determine when issues require immediate escalation. MONITORING TOOL REQUIREMENT Use of Hubstaff or similar productivity and time-tracking software is required to track productivity and support data security while working remotely. WHY JOIN?
