As a People Shared Services Associate, you will take on a key responsibility in employee data management such as contract administration, certificate generation, benefit data administration, and archiving personnel documents in Workday, while maintaining high-quality HR master and movement data, contributing to our ongoing efforts to drive business success and enhance customer satisfaction.

What you’ll do

HR Data Entry & Maintenance

• Process employee lifecycle transactions in the HRIS including onboarding new hire contract, new joiner registration, transfers, promotions, movements, contract changes, and terminations.
• Facilitate time and tracking administration, benefits and other related to compensation and benefits administration such as letter changes, leave administration, salary changes and the likes
• Maintain and update employee master data records with accuracy and confidentiality, including personal information, organizational data, compensation, and employment details.
• Manage personnel documentation, including courses, performance records, employment certificate, reference letters and other relevant employment documentation.
• Maintain accurate competence files and support the maintenance of the electronic filing system structure.
• Ensure timely processing of data change requests submitted via HR ticketing systems (e.g., ServiceNow, Jira, or equivalent).
• Coordinate with regional HR teams to obtain missing or incomplete data.
• Archive all personnel-related files securely within the organization's HR database.
• Maintain data integrity and facilitate the proper flow of information to relevant stakeholders during day-to-day operations.
• Carry out additional related responsibilities and ad-hoc duties as requested.

Stakeholder Collaboration & Service Delivery

• Serve as a point of contact for HR data-related queries from regional HR teams, managers, and employees via the shared services helpdesk/Workday helpcase.
• Collaborate with other regional teams to ensure data alignment across functions.
• Contribute to continuous improvement initiatives aimed at streamlining data management processes and reducing manual effort by Driving continuous alignment and refinement of HR practices and workflows throughout the organization.
• Support knowledge documentation, SOPs, and job aids related to HR data management processes.

Compliance & Confidentiality

• Ensure all HR data handling practices comply with applicable data privacy laws and regulations (e.g., GDPR, PDPA, or country-specific requirements).
• Handle sensitive employee information with the highest level of discretion and professionalism.
• Support internal and external HR audits by providing accurate data extracts and documentation.
• Follow data retention and disposal policies in line with organizational and regulatory requirements.

What you’ll bring

• With a Bachelor’s degree in Human Resources, Psychology and/or related field.
• With at least two (2) years solid and comprehensive experience of the same capacity.
• Has experience and knowledge of HR processes, systems and tools across the employee lifecycle  stages
• Has proven skills in managing, understanding, execution of ERP systems and tools, database functionality and reporting.
• Proficient in employee data process management.
• Familiarity with HR ticketing/case management systems (e.g., ServiceNow, Jira, Workday).
