About the Role:

TIMBERTEK is a Dubai-based wood flooring company specializing in solid wood flooring installation, restoration, maintenance, sanding, and polishing for premium residential and hospitality projects.

We are looking for a proactive and detail-oriented Admin assistant to support our day-to-day operations, coordinate projects, and ensure smooth communication between clients, suppliers, and the internal team.

Key Responsibilities:

• Oversee daily administrative tasks, including documentation, filing, and record management.
• Coordinate schedules between the sales team, site team, and clients for installations, maintenance, and restoration projects.
• Prepare quotations, invoices, and maintain payment records.
• Maintain project documentation, service records, and job files.
• Monitor inventory of flooring materials, finishing products, and tools, and coordinate replenishment with suppliers.
• Assist the site team with scheduling, site access arrangements, and client follow-ups.
• Respond to client enquiries via phone, email, and WhatsApp, and arrange site visits and quotation requests.
• Maintain supplier and client databases, contracts, and related documentation.
• Support general office administration, including attendance records and procurement of office and site supplies.
• Prepare basic reports on project progress, service requests, and ongoing jobs.

Requirements:

• Prior experience in the renovation or maintenance industry is essential.
• Bachelor's degree or diploma in Business Administration or a related field, or equivalent practical experience.
• Minimum 2 years of experience in administration or office coordination, preferably within fit-out, interiors, flooring, maintenance, construction, or contracting.
• Strong organizational skills with the ability to manage multiple tasks and coordinate with clients, suppliers, and site teams.
• Proficient in Microsoft Office and comfortable learning CRM, scheduling software, and AI tools to improve workflow.
• Process-oriented with strong organizational and problem-solving skills.
• Detail-oriented with a high level of accuracy.
• Strong written English and communication skills.

Salary: AED 3000 per month

Work Arrangement:

This role is currently work-from-home. Depending on business requirements and performance, it may transition to a remote, hybrid, or onsite position in the future.
